Corporate Services Assistant (1-Year Contract) – #5163
This one-year contract is an excellent opportunity for a Legal Administrative Assistant who is looking to build a specialization in Corporate Services while working alongside an experienced and collaborative team.
In this role, you will provide administrative support to lawyers, paralegals, and the Corporate Services team, while helping maintain accurate corporate records and ensuring client information is organized, accessible, and up to date. This is a fully in-office position.
Key Responsibilities
- Maintain and update physical and electronic corporate record books and client files.
- Assist with routine corporate records maintenance, including annual reports and corporate updates.
- Ensure client and corporate information is accurately maintained within firm databases and document management systems.
- Perform quality control reviews of corporate records to identify missing or incomplete documentation.
- Open, maintain, and close client files and matters in accordance with firm procedures.
- Maintain bring-forward systems and departmental task lists.
- Assist with routine corporate filings, registrations, and database updates.
- Prepare standard corporate documents using established precedents and templates.
- Process and track documentation through corporate registries and online filing platforms.
- Assist with incorporations, annual maintenance matters, and other corporate records updates.
- Assist with billing and accounts receivable follow-up as required.
- Provide general administrative support and assist with additional duties as needed.
Qualifications
- Legal Administrative Assistant Certificate preferred.
- Minimum one year of experience as a Legal Administrative Assistant, or an equivalent combination of education, training, and experience.
- Previous experience in legal administration, records management, corporate services, or another professional services environment is an asset.
- Exceptional attention to detail and strong proofreading skills.
- Excellent interpersonal, written, and verbal communication skills.
- Strong organizational and problem-solving abilities, with the ability to manage changing priorities.
- Able to work independently while contributing effectively within a collaborative team environment.
- Proficiency with Microsoft Office, including Word, Excel, and PowerPoint. Experience with corporate services software, document management systems, or platforms such as ALF, NetDocuments, or similar applications is considered an asset.
