Corporate Legal Administrative Assistant | Fluency in Mandarin a strong asset – #5164
Our client is seeking an experienced Corporate Legal Administrative Assistant to join its Vancouver office. This position requires a highly organized, detail-oriented individual with excellent multitasking, communication, and interpersonal skills. Depending on experience, responsibilities will include, but are not limited to:
Key Responsibilities
- Conduct conflict searches, open client files, complete client identification and verification, and prepare retainer letters.
- Maintain and organize physical and electronic files and documents.
- Format legal and corporate documents.
- Prepare trust deposits, trust cheque requests, trust transfers, investment deposits and redemptions, billing, and monthly WIP and accounts receivable reports.
- Prepare and send correspondence, with or without enclosures, including courier packages.
- Manage lawyers’ calendars, including scheduling telephone, virtual, and in-person client meetings, booking boardrooms, and coordinating meetings through Zoom and Microsoft Teams.
- Provide additional administrative support as required.
Qualifications
- Minimum 3–5 years of experience as a Legal Administrative Assistant, with a strong background in corporate/business law. Experience in real estate, estate planning and administration, or securities law will also be considered.
- Legal Administrative Assistant Certificate from an accredited post-secondary institution.
- Previous experience with iManage, Acumin, and BC Online. Experience with SEDAR is considered an asset.
- Strong technical proficiency with Microsoft Word, Excel, Outlook, and Adobe.
- Ability to manage a high-volume workload, adapt to changing priorities, and consistently meet deadlines.
- Excellent interpersonal, written, and verbal communication skills.
- Sound judgment, discretion, and the ability to maintain strict confidentiality.
- Flexible, adaptable, and able to respond effectively to changing priorities and deadlines.
- Fluency in Mandarin is considered a significant asset.
