This newly available role for a Corporate Securities assistant is with a premier Vancouver public company. In this role, you will provide support to mainly the CFO, Corporate Secretary and CEO. Located downtown, the role is ideal for a career-oriented individual. This position will provide the successful applicant plenty of opportunity to grow their skills.

The ideal candidate will have:

  • 2 years’ experience as a Corporate/Securities assistant, or experience with public companies
  • Post secondary education in legal, arts, business or office management
  • Excellent written, verbal and interpersonal communication skills
  • Strong technical and management skills, strong attention to detail and ability to work well under pressure
  • Excellent computer and typing skills

Job Duties include:

  • Prepare reports, memos and other documents
  • Maintain electronic filing system for public companies (Name and save documents according to the established procedures)
  • Assist the CFO/Corporate Secretary
  • Maintain corporate minute book (coordinate with R&R office)
  • Prepare meeting agendas and supporting materials for circulation
  • Ensure timely distribution of materials to the Board
  • Sedar, Sedi and other regulatory filings
  • Process issuances of securities (shares, warrants, options, etc.)
  • Process private placements
  • Monitor scheduled monthly, quarterly and annual regulatory filings
  • Draft minutes of meetings, board resolutions and standard agreements
  • Set up annual general meetings
  • Assist Investor Relations in coordinating conferences, conventions
  • Coordinate office functions
  • Support with meetings, travel and other arrangements
  • Prepare invoices and expense reports
  • File financial records and invoices according to established records management procedures

They are looking for an exceptional candidate to fill their newly created role and some of the duties include:

  • Timely handling of all matters associated with the coordination and scheduling of reviews and meetings, as per the practices and standards or the organization.
  • Frequent oral and written communication with the Board and Committee members, in a courteous, diplomatic, and professional manner.
